Motor Pool Information

Effective Friday, August 15, 2003 the following rates and policies will apply to Motor Pool vehicle use:

New Mileage Rates

  • FULL-SIZE VAN – 50 cents per mile (minimum charge $30 per day)
  • MINI-VAN – 40 cents per mile (minimum charge $20 per day)
  • CAR – 30 cents per mile (minimum charge $10 per day)

All groups using Malone vehicles will be responsible for returning vehicles to campus with the same amount of fuel as the vehicle departed with.  Groups who fail to do so will be charged the ACTUAL fuel cost to re-fill the tank IN ADDITION to the above mileage rate.

New Fine Rates

A $10.00 fine per infraction/per vehicle will apply to the following:

  • Failure to cancel use of a scheduled vehicle
  • Failure to return vehicle to Physical Plant at designated time
  • Failure to pick up vehicle keys during Physical Plant office hours
  • Failure to record mileage on key envelope
  • Failure to return vehicle keys or mileage envelope promptly
  • Failure to return gasoline credit card and receipts promptly
  • Failure to lock doors or turn off interior lights
  • Failure to report damage to vehicle interior or exterior
  • Failure to clean/remove trash from vehicle interior
Rental Vehicles
When rental vehicles are scheduled to accommodate any group, that group will be responsible for the per day rental company charge and all fuel cost associated with use of the rental vehicle.
 
Reminders
As always, Motor Pool requests are to be submitted IN WRITING on a Motor Pool Request Form at least 24 hours prior to use.  A minimum of 48 hours notice is required for use of rental vehicles.

WEEKEND Motor Pool requests should be received no later than 4:00 p.m. THURSDAY.

Vehicles are assigned on a first-come, first-served basis and reservations cannot be guaranteed without proper written notice.   Groups will be notified by Physical Plant immediately if your request cannot be accommodated.

Vehicle keys must be picked up during Physical Plant office hours.  Keys for WEEKEND vehicle use are available between 1:00 – 4:00 p.m. FRIDAY.  Keys for weekday trips scheduled to depart before 8:00 a.m. are available between 1:00 – 4:00 p.m. the previous day.
