Network Account Management for Malone Employees
I. New Employees
A. Account creation process is initiated by Human Resources Department.
B. Malone employees receive the following network resources:
1. Network account
2. Email account
3. Access to H: and S: drives (network data storage)
4. Member of faculty/staff email distribution list
5. “Courses” folder created for faculty
C. Upon receiving notification from Human Resources, the new employee will have a network account and access to network resources within 2 working days.
II. Departing Employees
A. Account deletion process is initiated by the Human Resources Department.
B. User’s account is disabled 30 days from the date of departure.
C. User’s account is deleted 60 days from the date of departure. At this time, H:drive contents and email account are removed.
D. If the departing employee has installed Malone-owned software on his/her home computer, he/she will be asked to uninstall this software, in accordance with software licensing requirements.
E. Exception: If the departing employee has retiree status, the option of retaining a Malone email account will be made available. Retirees may also opt to be included on the retirees email distribution list. NOTE: if the retiree chooses to retain a Malone email account, the network account will also remain active for login purposes.
III. Part-Time Faculty
A. Part-Time Faculty must be currently under contract in order to have an active network account.
B. Creation/Deletion process is initiated by Karen Warner, Assistant to the President and the Provost. A contract list is submitted to the Information Technologies Department at the beginning of the Spring and Fall Semesters.
C. New network accounts are created within 2 days of notification.
D. If a part-time faculty member is not included on the contract list, then the account is disabled and will remain so for one year or until the contract is renewed. If after one year, the contract is not renewed, then the account will be deleted. |
