Procedure for Reporting Copier Problems

This email is to provide additional details related to the procedure to follow so that timely service can be performed on your department copier.
 
 
 
There should be one or two key department employees monitoring the operation of the copier in your area.  Generally, the Administrative Assistant assumes the responsibility for being the key contact person to notify ComDoc of a copier problem.
 
 
 
    The contact person from the department should place a service call to ComDoc’s Customer Response Center to report the copier problem.  The phone number and the copier contract number are on the ComDoc sticker found on the front of the copier.  When placing your initial call, please briefly describe the copier problem to the dispatcher at the Customer Response Center.
 
    The ComDoc service technician should call the department contact person within one (1) hour to establish estimated time of arrival to service the copier.  The service technician will again call the contact person when en route to report projected time of arrival to service the copier.
 
    The service technician will also contact Malone’s Technology Help Desk if there is a possible network issue with the copier in question.
 
    The service technician when finishing the call will inform the key contact person as to the result of the call and if a “next step” is required.  If the key contact person is not available, the service technician will leave a note on the desk of the key contact and follow up with a voicemail as to the cause of the problem, steps to resolve the problem, and if a next step is needed.
Thank you for your cooperation in this matter.  It is important that any copier service problem be immediately reported to ComDoc so that your department’s copier can be repaired and returned to service as soon as possible.

Copiers that produce colored copies are located in the following areas:
  • Library / Main Level
  • Library (Lower Level) / Media Services
  • Founder’s Hall / Advancement Office
Cost per colored copy is only $.25 which we have determined to be a lower cost per copy than local printing services.
