Facility Reservation Procedure and Policy

The increase in buildings and meeting places at Malone College has brought about the need for a centralized event and room scheduling system.  The Physical Plant and Registrar’s Office, along with Media Services will be utilizing an automated scheduling system called Astra Schedule.
 
Please contact one of the offices listed below to reserve the appropriate facility and schedule your event.

  • All Academic Classrooms – usage is for On-Campus groups.

When contacting the Physical Plant for a facility request, please be prepared to discuss the name of your event, time frame for the event and any setup needs. Events that do not require audio/visual support must be scheduled at least three business days prior to the event.  The Physical Plant reserves the right to deny any facility request submitted less than three business days prior to the event. (Events requiring audio/visual support must be scheduled at least three weeks prior to the event as detailed below.)
 
  • All events in the Brehme Centennial Center, Johnson Center, Randall Campus Center, Osborne Hall, Mitchell Hall-Silk Auditorium
  • All events requiring catering services
  • All events requiring the services of Safety personnel
  • All events requiring special setups of tables, chairs, risers, curtains
  • All events requiring special electrical or lighting support
  • All events requiring audio/visual support from Media Services
 
When you schedule an event that requires media support or additional media equipment setup, your reservation must be made at least three weeks prior to the event.  Examples would include:
  • Microphone setup and onsite audio technician support
  • Sound system setups for special concerts
  • Video and/or audio recording
  • Projector and/or screen setup
  • PowerPoint or any video playing (DVDs etc.)
  • Concert and event audio/visual support
 
Starting Monday, March 31, 2008, when you schedule an event with the Physical Plant, you will receive an e-mail confirming your reservation from the Physical Plant.  In addition, you will also be required to fill out a media request form. The PDF form is included in the confirming e-mail.  Please complete the form and return it to Media Services as soon as possible, so that we can make sure all of the equipment needed for your event is ready to go and in good working order.  An email confirmation of all of your audio/visual; requirements will be sent 2 weeks prior to your event.  You will then have 1 one week to make any changes. 
 
Please understand that Media Services has limited staff to support all the regular events scheduled on campus as well as other events.  We strive to provide excellent customer service, but we cannot guarantee service with less than 3 weeks notice.  Media Services reserves the right to deny any request made with less than 3 weeks notice. 
 
Also, starting Monday, March 31, 2008, all media requests including single microphone set ups, need to be reserved via the media request form to Media Services.  The Physical Plant will no longer be handling audio/visual requests.  If you have any questions, please contact Media Services as soon as possible at ext. 8309 or mediaservices@malone.edu.
