MAILROOM SERVICES

INTRODUCTION

The purpose of Malone University campus mail services is to provide efficient distribution of the US Postal Service and inter-departmental mail for the University departments and for residential students.

The Malone University Mail Room is located in the lower level of the Brehme Centennial Center, and receives and sends US mail for the University departments as well as resident students. Mail boxes for resident students are also housed the lobby of the mail room. In addition to receiving and sending U.S. mail, the mail room processes campus mail as well as UPS and FedEx packages.

HOURS OF OPERATION

Hours of operation vary according to the time of year. The current hours of operation are always posted on the mail room window and door. In general the mailroom maintains the following hours during the academic school year, August through May.

Monday - Friday
8:30 a.m. - 4:00 p.m.

The mail room may deviate from the above hours due to school closings, holidays, or staff availability.  When alterations to the normal operating hours are necessary, the modified hours will be posted outside of the mail room. Students have access to their mail box Monday through Friday (8:00 a.m. - 8:00 p.m.), and Saturday and Sunday (12:00 - 8:00 p.m.)

Mail is picked up at the Post Office once a day, Monday through Friday.

PO BOX KEYS

PO Box keys will be issued by the mail room to resident hall students. To obtain a key, students must present their student ID and complete an information card with contact information. Freshmen may obtain their mail box key during Countdown. There is no charge for PO Box use. Keys must be surrendered upon leaving the University. There is a lost key charge of $10.00 if the key is lost or failure to turn in upon leaving. This amount will be charged to the student account.

OUTGOING MAIL 

Outgoing first class mail must be received in the mail room no later than 3:00 p.m. in order to be processed the same day.  

MAIL PICK-UP

In order to pick up student parcels and oversize mail from the counter, a valid Malone University student ID is required.

When tracking packages on a carrier website (i.e. Amazon) the status "delivered" does not necessarily mean the item is within Malone University mail services. Delivery scans can often be two or three days prior to our facility receiving a particular package. Students will receive an email from packagedelivery@malone.edu once it has arrived to the Campus Mail Center.  

All packages received in the mail room are recorded and must be signed out to the recipient. The mail room receives all small packages from commercial carriers (UPS, FedEx, Amazon), scans them and notifies the person via email that the package has been received. Packages are received, in the mail room, at various times throughout the day.

CHANGE OF ADDRESS

At least one month prior to a student planning to leave the University, the student should contact all sources for their incoming mail such as banks, to change their mailing address. It is the responsibility of the student to complete a change of address form for the United States Post Office.
